The Accounts Coordinator will work closely with our HR/Accounting team to support the day-to-day accounting operations, with a strong focus on processing vendor invoices, managing payments, and maintaining accurate financial records. This role is ideal for someone who enjoys working with numbers, thrives in an organized and detail-oriented environment, and wants to be part of a fast-paced, creative team.

You’ll play a key role in ensuring the financial success of our events by helping track costs, reconcile expenses, and support vendor relationships across multiple productions. This position supports all of our in-house brands—Events By Design, Sound By Design, Events to a T, Films By Design, and By Design Rentals—providing a unique opportunity to work across a diverse portfolio of event and production services.

Key Responsibilities:
Process, track, and code vendor invoices accurately and in a timely manner for all brands
Coordinate payment runs (ACH, checks, credit) and ensure timely disbursements to vendors
Monitor vendor accounts to ensure payments are up to date and resolve discrepancies
Support onboarding of new vendors by collecting W-9s, contracts, and certificates of insurance
Maintain accurate and up-to-date records of all transactions and vendor files
Reconcile expense reports, credit card transactions, and receipts from team members and producers
Communicate regularly with producers and project managers to track event budgets and spending
Support preparation of financial reports and data for internal team use and external partners
Help maintain compliance with internal financial controls and procedures
Provide administrative support to the finance and operations teams as needed


Qualifications:
2+ years of experience in bookkeeping, accounting, or finance support—preferably in events, entertainment, hospitality, or a creative agency setting
Proficiency in Google Workspace (Sheets, Docs, Drive)
Strong organizational skills and keen attention to detail
Ability to manage multiple priorities and deadlines in a fast-paced, team-oriented environment
Excellent written and verbal communication skills, with a professional and proactive approach to internal and external correspondence
Knowledge of basic accounting principles and practices
Comfort working with budgets, invoices, expense reports, and reconciliations
Experience handling sensitive financial information with confidentiality and discretion
Bonus: Prior experience supporting multiple brands or departments simultaneously
